CarFest Drink Serving Policy
CarFest Management Ltd (abbreviated in the rest of the document to CML) are committed to ensuring that a safe environment is created for both working personnel and visitors attending CarFest. To ensure this, an Alcohol Serving Policy has been produced in line with licensing legislation as alcohol is being served and sold on the event site. CML promote compliance from all staff and exhibitors on site with the following policy.
Exhibitors selling drinks are permitted to only sell product (both alcoholic and non-alcoholic) for off-site consumption only. Exhibitors are not permitted to sell product for consumption onsite (unless agreed in writing by CML). Exhibitors are permitted to offer small samples to interested visitors from their stand only.
All exhibitors selling both alcoholic and non-alcoholic drink product are sent a copy of this policy to read, and each exhibitor must sign to accept the terms of the policy. All staff working on behalf of any exhibitor will be expected to comply with this policy as part of their agreement with CML. We expect the exhibitor to share the policy with all staff members prior to festival open.
Any exhibitor, including staff working for/on behalf of the exhibitor, not operating in line with the policy may be asked to leave site by CML, resulting in immediate closure of the stand and termination of participation at the event.
Alcohol can only be sampled/sold:
For off-site consumption. Exhibitors are not permitted to sell alcohol for customers to consume on the event site.
By a member of staff who is over the age of 18 and if the nominated license holder is present at the stand to authorise the sale of alcohol.
Once a copy of the license holder certificate has been sent to CML.
Once a completed exhibitor check list has been signed by the venue DPS or the appointed representative in advance of the event open. This will be a member of staff from Peppermint Bars, CML’s appointed bar supplier.
If all mandatory paperwork is printed and ready on the stand, including daily checklist, premises license summary, challenge 25 poster and DPS sign for display. This paperwork is emailed to all exhibitors selling alcohol up to 10 days prior to CarFest.
During event open times for the field/location of the stand. Sales must stop 15 minutes before the end of the event closing time. Opening times can be found in the exhibitor manual.
Exhibitors are only permitted to sell products (both alcoholic and non-alcoholic) for off-site consumption only, as per the below restrictions:
500ml or higher volume bottle of spirits only.
No mixers can be sold with spirits.
Ready mixed alcohol drinks are not permitted.
Wine bottles. Beer bottles. Gifting packs are not permitted.
The acceptable sampling sizes for drinks are as follows:
Soft Drinks - 50ml
Wine, champagne or similar - 25ml
Spirits or similar - 5ml
Visitor sampling of alcoholic drinks must be restricted to one sample per person and return visits are not allowed. Hand stamps or a hand marking system should be used to ensure return visits are not taking place.
All exhibitors must display an Allergen Sign and Matrix to allow customers to be fully aware of the ingredients. All staff must be able to answer questions on allergens and have a knowledge of ingredients.
The key conditions of the license are:
It is a criminal offence to sell or sample any alcohol to children under the age of 18.
It is a criminal offence to knowingly sell or serve alcohol to a person who is or may be purchasing for someone under the age of 18.
It is a criminal offence for a person to purchase alcohol on behalf of someone who is under the age of 18.
It is a criminal offence to knowingly sell or serve alcohol to a person who is drunk or appears to be drunk.
It is a criminal offence to sell or serve alcohol to the companion of a person who is drunk for the drunk person’s consumption.
All alcoholic drinks shall have their ABV clearly displayed.
The challenge 25 policy shall be implemented at all bar and exhibitor areas where the sale of alcohol is being carried out and appropriate signage must be displayed.
No irresponsible promotion of the sale or sampling of alcohol.
The only acceptable form of identification concerning the issue age should be a citizen card, photographic drivers license or passport.
Refusal logs should be maintained and made available for inspection on request.
All drinks that are sampled should be in the correct measures.
CML are committed to the following policies and procedures throughout the operational period of the event:
CML will not tolerate rude or abusive behaviour.
CarFest exhibitors have the right to refuse to serve alcohol at their own discretion.
Procedure to follow:
Should any exhibitor and/or their staff witness drunk or disorderly behaviour they will be advised to contact the nearest security personnel, or the production office and a suitable response shall be enacted.
Should any exhibitor be subject to rude or abusive behaviour, or they need any support implementing this policy regarding serving alcohol they will be informed to advise their nearest security personnel or the production office and CarFest will ensure a suitable response is actioned.
CML reserve the right to immediately stop any exhibitor, and it’s agents from selling or serving alcohol if they believe that the Alcohol Serving Policy is not being followed.
Challenge 25
All exhibitors who are selling and/or sampling alcohol must follow the Challenge 25 Policy. The Challenge 25 rules are:
retailers should ask for ID from anyone who appears under 25 when trying to buy or sample alcohol
the acceptable ID includes a passport, photographic driving license, or a card with the PASS hologram
if a customer doesn't have ID, they won't be able to buy or sample alcohol
It is a mandatory requirement that all exhibitors who are selling and/or sampling alcohol must display the Challenge 25 poster, which can be found here.

Ask Angela
All bars at CarFest operate the Ask Angela scheme. Ask for Angela is a national scheme that helps anyone who is feeling vulnerable on a night out to get the support they need. Posters are displayed in premises that operate Ask for Angela, letting visitors know that they have a safe space to ask for help from a member of staff if they feel unsafe or uncomfortable in a situation. People who feel unsafe, vulnerable or threatened can discreetly seek help by approaching staff and asking them for 'Angela'. This code-phrase will indicate to staff that they require help with their situation and can look to support and assist them.
The Ask for Angela poster can be found here. CML don’t enforce displaying an Ask for Angela poster, however recommend that all exhibitors understand the scheme and train staff on what do if someone asks for Angela. Below are some simple steps on how to deal with this situation.
If a person asks you for Angela, please respond with ‘Do you need some help?’. They may not be asking for a member of your staff called Angela. Once you have that clarification…
1. offer to take the person asking for help to an area not in sight of the public or potential threat
2. offer to call the person a taxi or assist them in calling a friend/family member to come and collect them
3. ask the person in distress what it is they want to do? It might be they just want to alert staff that things are becoming uncomfortable and needed to get away
4. do not allow the person asking for help to leave in sight of the person causing them distress as this could lead to them being followed and placed at higher risk
