CarFest Site Induction

CarFest requires that every person who will be on site during the build and break periods (construction phase of the event) complete a site induction (for example, by reading the site rules in full).

Anyone arriving must have completed an induction to access site. This is a requirement under CDM 2015.

It is wholly the responsibility of the managers / supervisors to ensure that:

  • Site inductions have been undertaken by ALL staff / crew / volunteers / visitors ahead of arriving to the event site and before starting ANY works.

  • The controls and arrangements listed below are understood and disseminated to all levels of staff.

  • They monitor and review working practices in line with the inductions and the controls therein.

General

  • Only do work you know you are capable of, are equipped to do and always use the correct tool for the job. If you have not done the work before, make sure you ask how to do the task / have received appropriate training. Do not take short cuts.

  • No U16s are permitted on site during the build and break periods, and outside operating hours of the event. Any U18s working on site will require a young person’s risk assessment from their employer or guardian. This is a licensed condition of the site and non-negotiable.

  • Use the toilets on site and not the surrounding parkland.

  • Familiarise yourself with the first aid point, fire exits, and fire points. Then make sure your team knows their location. Knowing how to get help, get safely off site or help someone else if critical.

  • We are operating on a working farm; the ground might be uneven so take this into account. It is essential you leave nothing behind that might be eaten by a farm animal.

  • A safe system of work must be always employed. Make sure that you have a controlled and sterile area before commencing any complex works. This means being fenced in for any construction works.

  • If in doubt, ask – call your supervisor or escalate to Event Control, Production Office, or the Site Safety Team.

  • All persons working on site will be expected to comply with all relevant Health & Safety legislation, guidance, and best practice.

  • Crew and Contractors must report to the Site Manager and/or Operations Manager before commencing work on site.

  • All Exhibitors, Content Providers, Car Clubs and Display Car Owners must register their arrival at the Production Pad prior to access to their stand / feature space.

  • Drive slowly, the site speed limit is 5mph. Do not use your hazard lights when driving around site; indicate as you would normally.

  • Do not drive on the grass - use the roads and trackway (temporary roadways) wherever possible. During the show, vehicle movement will NOT be permitted in public areas.

  • No digging or staking may take place without permission of the site manager. THERE ARE BURIED SERVICES AND OVERHEAD POWER LINES ACROSS SITE -  you must speak to a Floor Manager or Operations Manager prior to staking or digging in.

  • You shall ensure that you and your staff / crew / volunteers / visitors wear appropriate PPE where necessary and relative to your own risk assessment / method statement, this includes but is not limited to; hi-visibility vests and steel toe cap boots.

  • Please report accidents, incidents or near misses immediately to a member of the Site Safety Team situated in the Production Office.

  • All plant operators must be in procession of a valid operator’s ticket / licence that is both in date and relevant to the type of plant being used. This shall be presented at the Production Office and ahead of operating any plant.

  • Daily checks of plant vehicles are mandatory and should be carried out by the operator in each instance or at any time when taking over operation of said plant / vehicle.

  • Any plant defects shall be reported to the Operations Manager upon discover and without delay. Damaged and/or defective plant should not be used until fixed and or re-assessed as safe for use by a competent person(s).

  • Keys are not to be left in unattended plant or vehicles under any circumstances.

  • Any person found working under the influence of drugs or alcohol shall be immediately removed from site.

  • Smoking is not permitted inside any structures, cabins, or marquees. It is against the law.

  • In the event of an evacuation of the site, please ensure that you follow the direction of the Security Stewards.

  • It is not permitted to plumb directly into any water supply, this includes the attachment of garden hose pipes to the site standpipes. Any such action would compromise the temporary water installation and the person(s) responsible will be charged for the reinstatement and testing costs.

Fire Safety (including Hot Works)

We require everyone onsite to adopt the following simple controls. Such controls must be disseminated to ALL members of your team.

  • Stay alert to the risk of fire. Know how to get help, where you are on site and the location of your nearest extinguishers or fire safety controls.

  • Reduce all manoeuvres as much as possible and plan your journeys/routes. Hot exhausts / catalytic converters and grass do not mix.

  • Do not leave vehicles running when it is not necessary.

  • Petrol generators are NOT permitted onsite, under any circumstances.

  • All LPG must be kept in a secure back of house (i.e. away from public occupation/thoroughfares) location, upright and hoses and values in a good state of repair.

  • If you are a smoker, think about where you are on site and ensure that all cigarette ends are extinguished fully and disposed of in suitable receptacles. DO NOT UNDER ANY CIRCUMSTANCES DISCARD THEM ON THE GROUND.

  • If your operations / activities include any hot works, then you need to discuss this with the Site Safety Team and Operations Managers BEFORE starting any works.

  • Find out where your nearest fire point is. Report accumulated litter or rubbish. Report smells of gas or petrol. Do not smoke on duty and while driving plant or operating machinery. Keep fire exits clear.

If you spot a fire:

  1. Raise the alarm locally and call Event Control.

  2. Clear the area.

  3. Tackle a small fire ONLY if you are competent to do so – otherwise just get out / clear the area.

Work at Height (WAH)

Any WAH to be planned and carried out safely and all equipment suitable for use. If you are working at height, ensure that you have suitable harnesses, safety lanyards, fall arrest units, work positioning devices etc. You are required to be always clipped on.

Safety Signage

You will see a range of “safety signs” around the site. Generally, there are four types of safety signs.

  1. Prohibitory (Generally a red circle or triangle)

  2. Warning Sign (Usually Yellow)

  3. Mandatory (Usually Blue)

  4. Emergency (Green)

Everyone working on site is required to adhere to all safety signage and direction around the site and not to interfere with anything provided in the interests of safety.

Slips, Trips & Falls

Do not leave equipment, materials or other items lying around, tidy up as you work and when you finish. If you see a trip or slip hazard clear it up or let the Production Office Team know.

Manual Handling

Only lift and carry goods if there is no lifting aid / alternative such as a forklift, barrow, or trolley. Always ask for help if the load is too heavy, big, or awkward for you - and always if it is over 25kg. Check the route is clear and you have somewhere to put the load down. Wear gloves and safety boots as appropriate (e.g. moving barriers). Keep your back straight and bend from the knees when lifting.

Temporary Power & Electrical Systems

Do not touch, move, repair, or interfere with any site electrical equipment unless you are an electrician and have been instructed to do so. If you see domestic (13amp) fittings used outdoors let the Production Office Team know immediately. If in doubt, ask.

Noise at Work

Exposure to loud noise can permanently damage your hearing. Always wear ear protection if working close to a source emitting noise.g close to a source emitting noise.

Adverse Weather

Hot, cold, wet, or windy, you should be properly dressed for the weather and have sun block, a hat, drinking water etc. depending on the conditions, and don’t forget it can change quickly. Bring appropriate clothing with you for a range of conditions.

Environmental Sustainability

As part of our sustainability plan, we will minimise the use of plastic on site. We kindly ask you to bring a reusable water bottle that you can refill. There will be plenty of fresh potable water available around the site from standpipes, restaurants, bars, and the wash up areas in campsites. This is a simple action that we all can take that will have a significant impact on the amount of plastic waste generated.

Medical/Accident & Incidents

There will be a first aid kit located in the Production Office throughout the event. During the show there will be an experienced Medical Team onsite to respond to any medical emergencies and are contactable through the Production Office Team or by visiting the First Aid Point. 

If you have, or see, an accident or near miss, you must report it immediately to the Production Office Team. Reporting near misses means they can be prevented from turning into accidents next time.

Use of Alcohol &/or Drugs

The festival has an anti-drugs ethos and policy; staff must not drink, smoke or be under the influence of drugs when on duty. Anyone found working under the influence of either (including prescription drugs that have a negative effect on behavior) may face disciplinary action including ejection from the site and police involvement. The smoking ban applies to all cabins, tents, and site vehicles.

Temporary Demountable Structures (TDS)

Any temporary structures (including pop-up tents / gazebos etc.) brought onsite must be suitable for intended purpose and meet the guidance laid out within Institution of Structural Engineers Guidance, Temporary Demountable Structure 2017 4th Edition. Part of that requirement is to provide a detailed wind management plan clearly detailing the max operational wind load relevant to each structure. This should be submitted as part of Form 1 - Compulsory Declaration in advance of your arrival. 

Emergency Procedures

Make yourself familiar with the site and note all emergency access routes or exits. Do not obstruct these routes. Take stock of landmarks around the site / venue or use grid positions to guide help in. Make sure that you know how and with whom to raise the alarm. This is essential if you need to help someone or indeed if you yourself need assistance. 

If under emergency conditions, always follow the direction of security and stewards. The events have a policy of escape and preservation of life. Follow such direction calmly and immediately. The contractor / exhibitor must provide information that needs to be considered in an emergency e.g. presence of flammable goods. During the live phase of the event, emergency arrangements and procedures are fully in place. Ensure that you know how to comply, what the routes are and what your role (if any) may be.

First Aid

We will have 24/hr medical cover on the event site from Wednesday 21st to Monday 26th August. The medical tent within the FoodFest field, which is located next to the campsite/event site entrance. We recommend you making yourself familiar with the location.

During the build, break and event live periods, there will also be a first aid point and defibrillator at the Production Office.

If you come across an individual who is in need of first aid between Thursday 22nd and Sunday 25th, please notify a member of the Event Control Team on radio channel 1. At all other times please contact the Production Office on radio channel 2.
