CarFest Site Induction
CarFest requires that everyone who will be on-site during the build and break periods (construction phase) must complete a site induction, which includes reading and understanding the site rules. This is in compliance with the Construction (Design and Management) Regulations 2015 (CDM 2015).
Responsibility
It is the responsibility of managers, supervisors, and all personnel involved to ensure that:
Site inductions are completed by ALL staff, crew, volunteers, and visitors prior to accessing the site and beginning work.
The controls and procedures outlined in this document are understood and communicated at all levels.
Work practices are continuously monitored and reviewed to ensure compliance with safety protocols.
General Rules and Safety
Only undertake tasks you are qualified for. Use the correct tools for the job. If you are unsure, seek assistance or ensure you have received appropriate training.
Under-16s are prohibited from the site during build and break periods, and under-18s must have a young persons’ risk assessment completed by their guardian or employer. This is a legal requirement.
Use designated toilets only – do not use the surrounding parkland areas.
Familiarise yourself with first aid points, fire exits, and fire points. Ensure your team is aware of these locations.
The site is a working farm, so be mindful of uneven ground. Ensure no items are left behind that could be consumed by farm animals.
A safe system of work must always be employed, ensuring a controlled and sterile area is created before starting any complex work (e.g., fencing off construction areas).
If in doubt, ask your supervisor or escalate issues to Event Control, the Production Office, or the Site Safety Team.
Health & Safety Compliance
Everyone on-site must adhere to relevant UK Health & Safety legislation, guidance, and best practices.
Crew, contractors, and exhibitors must report to the Site Manager or Operations Manager before commencing work.
Drive carefully: The speed limit on-site is 10 mph. Do not use hazard lights when driving; use indicators as usual.
No driving on grass: Use roads and trackways wherever possible. Vehicle movement is prohibited in public areas during the event.
Permission is required for any digging or staking activities due to buried services and overhead power lines.
Ensure you and your staff wear the appropriate Personal Protective Equipment (PPE), including high-visibility vests and steel-toed boots, as determined by your risk assessment.
Plant & Equipment Safety
Plant operators must hold a valid operator’s ticket relevant to the equipment being used, and this must be presented to the Production Office prior to use.
Daily checks of plant vehicles are mandatory. Report any defects immediately to the Operations Manager.
Never leave keys in unattended plant or vehicles.
No person under the influence of drugs or alcohol is allowed on-site. Those found in breach will be removed from the site.
Smoking & Fire Safety
Smoking is prohibited inside any structures, cabins, or marquees as per UK law.
Stay alert to the risk of fire: know where fire extinguishers are located and how to raise an alarm.
If involved in hot works, consult with the Site Safety Team and Operations Managers beforehand.
Report gas or petrol smells, accumulated litter, or any fire hazards immediately.
In case of a fire:
Raise the alarm and call Event Control.
Clear the area.
Only tackle a fire if it is small and you are competent to do so.
Work at Height (WAH)
Work at height must be planned and carried out safely. Ensure the appropriate safety equipment (harnesses, lanyards, etc.) is used at all times. Workers should always be clipped on when working at height.
Site Signage
Comply with all safety signs on-site, which will include:
Prohibitory (Red)
Warning (Yellow)
Mandatory (Blue)
Emergency (Green)
Slips, Trips & Falls
Keep work areas tidy and clear of obstructions to prevent slips, trips, and falls. Immediately report any hazards to the Production Office Team.
Manual Handling
Use lifting aids (forklifts, trolleys) for heavy or awkward items. Always ask for help if a load exceeds 25 kg or is difficult to manage alone.
Electrical Safety
Do not touch or interfere with electrical equipment unless qualified. Report any faulty or inappropriate electrical installations, especially outdoor domestic (13amp) fittings, to the Production Office Team.
Noise & Hearing Protection
Wear ear protection if working near sources of loud noise to prevent hearing damage.
Adverse Weather
Prepare for all weather conditions by dressing appropriately and carrying water, sunblock, and other necessary items.
Environmental Sustainability
Help us reduce plastic waste: bring a reusable water bottle. Refill it at the numerous standpipes and water stations on-site.
Accident and Incident Reporting
Report all accidents, incidents, or near misses immediately to a member of the Site Safety Team in the Production Office. Reporting near misses helps prevent future accidents.
Drugs and Alcohol Policy
No drugs or alcohol: Staff must remain sober while on duty. The festival follows a strict anti-drugs policy, and any breaches will result in immediate removal from the site.
Temporary Demountable Structures (TDS)
All temporary structures must comply with the Institution of Structural Engineers’ Guidance (Temporary Demountable Structures, 2017, 4th Edition). Submit your wind management plan in advance.
Emergency Procedures
Familiarise yourself with emergency access routes, and never block these routes. Know how to raise an alarm and the appropriate emergency contacts.
Follow the direction of security and stewards in an emergency. Your safety and that of others is paramount.
