CarFest Food Serving Policy
CarFest Management Ltd (abbreviated to CML in the rest of this document) are committed to ensuring that a safe environment is created for both working personnel and visitors attending CarFest. To ensure this, a Food Serving Policy has been produced and CML promote compliance from all suppliers, exhibitors and staff on site by sending them this policy to read and sign in advance of the event.
Food exhibitors are permitted only to sell food products for off-site consumption only. Food exhibitors are not permitted to sell food for consumption onsite (unless agreed in writing by CML). Food exhibitors are permitted to offer small bite sized samples to interested visitors from their stand only.
All food exhibitors are expected to share this policy with staff members working for them/on their stand at the event, and all staff will be expected to comply with this policy.
Any exhibitor, including staff working for/on behalf pf the exhibitor, not operating in line with the policy may be asked to leave site by CML, resulting in immediate closure of the stand and termination of participation at the event.
CarFest Management Ltd employ a competent and professional Food Safety Hygiene Officer, namely Priority Concessions, to audit all food exhibitors paperwork submitted in advance of the event, and to carry out an onsite audit of the exhibitor to check compliance with this food serving policy. ; sampling sticks etc.
Exhibitors sampling food must comply with the below list of requirements:
All food exhibitors must be registered with their local authority.
All food products sold for consumption offsite must be sealed.
All exhibitors must display an Allergen Sign and Matrix to allow customers to be fully aware of the ingredients.
If exhibitors are using an area to prepare and/or cut food for sampling there must be a document displaying their understanding of food allergen and management of cross contamination possibilities. All staff must be able to answer questions on food allergens and have a knowledge of ingredients.
Hand wash facilities must be in place if any exhibitor is handling food to prepare for sampling from raw state.
CarFest have banned ALL single-use plastics, as well as items made from Polystyrene (PS) or Polycarbonate (PC). For more information on this, please see our Sustainability Policy.
Sampling must be carried out safely and in such a way that the risk of cross-contamination is minimised. The following must be considered in the exhibitors risk assessment:
Where food is placed and how sampling is supervised.
How samples are offered; from a plate or bowl and NOT from the blades of knives.
Preventing double dipping.
Consideration of sneeze guards.
Preventing people from putting fingers into food.
Ensuring cutlery is only used once.
Cleaning of sampling plate or bowl before replenishing samples.
Where discarded items should be placed; sampling sticks etc.
CML take quality and safety of any food provided very seriously, and all food exhibitors are required to submit the following paperwork to CML in advance of the event:
Risk Assessment, including assessment, management and control of Risks.
HACCP Form.
Comprehensive Allergen Plan/Information.
Local authority registration certificate.
Documents relating to a permanent or preparation kitchen will not necessarily apply to the exhibitor operation at the event. A HACCP must take into account food storage onsite and transportation of food to the event site.
Exhibitors must provide their own hand washing facilities, and we recommend this is relevant to the food preparation taking place as modelled in the below flow chart.
