A: We advise you to check your spam and junk email folders as sometimes our emails can end up here. The email will be from operations@carfest.org.
If you have found the emails in your spam or junk folders, please ensure you whitelist our email address to ensure. you receive any future emails. Instructions on how to do this can be found here: Whitelisting instructions for different email providers.
If you still cannot find any emails or forms from us, please contact the Operations Team ASAP.

A: In early August, at least 1-week before the event, the lead contact registered on Festival Pro will be emailed a unique e-ticket for each staff member. These are to be distributed by the main contact to all staff working at the event.
In order us to allocate e-tickets correctly, the lead contact must have submitted all staff names correctly on Form 1 - Compulsory Declaration.
E-tickets are scanned and event entry wristbands provided upon entry to the event.

A: Before collecting your event access wristband you, and every person participating at CarFest, must have completed Form 3 - Site Induction.
Upon arrival at the event, both the site induction QR code and e-ticket must be shown.
Please ensure you collect your Site Induction Wristband before collecting your Event Access Wristband, if entering the event site in a vehicle. Both collection points are located on the Production Pad.
If you are entering the event site on foot, there will be a collection point for both Site Induction Wristbands and Event Access Wristbands located in the Blue Car Park.

A: Yes, there are a couple of options for onsite parking:
Blue Car Park is for staff, performers, and anyone who has booked camping in the Blue Campsite. Blue Car Park is open from midday Wednesday 21st to midday Monday 28th August.
There is NO access to Blue Car Park without the correct, completed vehicle pass.
There is NO parking permitted on/behind stands within the event site, without written permission from the Operations Team.
If you would require HGV parking across the event weekend, nearby Popham Airfield are offering spaces for £50/vehicle. Please contacu admin@popham-airfield.co.uk to inquire.

A: Yes, camping in the Blue Campsite can be booked via Form 2 - Additional Requirements.
The Blue Campsite is provided exclusively for Exhibitors, Content Providers/Performers and Car Clubs, and is located in a back of house, non-public area. There is car parking, toilets, showers, a washing up area and chemical waste disposal available in the campsite.
There are three pitch options available to book: Tent Pitch, Campervan or Caravan Pitch and Campervan or Caravan Pitch with Electric Hookup.

A: Yes. Due to how busy the caterers can get onsite, we advise that if you are working at the event, you bring your own food and drinks.
Please be ware that alcohol is permitted in the Blue Campsite but cannot be taken onto or consumed whilst you are in the event site.

A: No, unfortunately due to our Operations Team build schedule we do not permit anyone to arrive on site earlier then the dedicated times found in the access times section of your specific manual page.
Under no circumstances are children under the age of 16 to be allowed on site before event during the build and break periods.

A: Breakdown will commence on Monday 26th August at 08:00, subject to your floor managers approval. Timings may differ dependent on your area, as specific breakdown rules apply to each field. Only certain areas can breakdown in the evening on Sunday 25th August. Breakdown will commence only when the Floor Manager deems it is safe to do so in each field (when the area is clear of all public).
Under no circumstances are children under the age of 16 to be allowed on site before event during the build and break periods.

A: Yes, smoking and vaping is permitted in back of house areas, but please be reminded that smoking is not permitted inside any structures, cabins or marquees - it is against the law.
Please be responsible for your cigarette ends, ensure they are fully extinguished and dispose of them in one of the provided bins.
Please do not dispose of vape pens in the general or recycling bin on site, as they contain batteries. Please take them home with you and dispose of them at a waste electrical and electronic equipment recycling facility.

A: Only service dogs are allowed at the event due to our Health & Safety policy. This is applicable to the event site as well as the campsites and car parks.

A: Yes, however these are left at your own risk. We do have 24-hour roaming security, but they do not take any responsibility for your belongings.
You may want to consider booking private security for your stand or removing high value items overnight.We do offer dry storage facilities within the Production Area. This can be booked via Form 2 - Additional Requirements.

A: We strongly advise you not to organise deliveries to site. If delivery is essential, please follow these strict instructions:
You must be present to accept your delivery. CarFest will not sign for or take responsibility for any deliveries.
If you are not present, we will ask the delivery driver to call you. If they do not have a phone number then they will be sent away.
Any deliveries arriving before Wednesday 21st August will be sent away.
Any deliveries sent to the site must have the following details attached:

Mobile Number of someone from your team on the event site

A: Phone signal cannot be guaranteed, due to the high volume of people using data on the event site. Phone service providers, EE and Vodaphone, will be installing signal boosting masts at the event.
If you have booked a space only stand, we recommend booking WIFI for your stand and this can be done by contacting events@infinium.co.uk
Wi-Fi is only available for stand-alone vendors / sponsors only and we will not be providing coverage for any vendors within Britain’s Best or the Food & Drink Marquees.
If you have booked any other stand type, and are concerned about phone signal for payments, we recommend you arrange a data plan with either EE or Vodaphone for the duration of the event.

A: As part of our Sustainability Policy, we are banning the use of single use plastics from our events as a step forward to achieving this.
We are operating The Paper Cup Scheme at our main event bars. Any drinks that are served in a paper cup the, price will include a 10p deposit. If the customer brings back the paper cup back to the nearest return point, they will get the 10p back!
Return points are located at Timothy Taylor BarFest Arms, the Premium Lounge Bar and bars in the Music Field.
This scheme is in place to promote sustainability by putting the cups through the correct waste channels, rather than them falling into general waste.

A: At CarFest, our mission is to significantly reduce the impact our event has on the environment. We plan to work with other businesses, festivals and join a network of companies that are already taking climate action, so that together we can aim towards being net zero.

A: 24hr security will be provided on and around the festival site. However, all belongings are left at the owners risk. If you would like a dedicated security presence on your stand please contact the Operations Team. If you are contracting your own security contractor you must make the Operations Team aware in advance of the event.

A: Any Exhibitor or Content Provider who would like additional advertising in the festival show guide and/or on the website must complete the online Marketing Form sent with your welcome email.

A: Any delivery drivers who are only delivering stock or kit do not need an event wristband or to complete a site induction.
All personnel who are working at the event during build and beak periods must complete a site induction. Only staff who are working during the event open hours need a wristband.

A: Yes, there are roles available for any of your friends or family who are interested in volunteering.
We work with Festaff to recruit volunteers at the event and the CarFest Volunteer application form can be found here.

A: The rules of the Blue and Track Show Entrant Campsites are:
No booking no stay. YOU CANNOT PITCH UP without checking in with the campsite manager.
Children (16 years and under) are permitted in the campsite but should be supervised at all times. Children MUST NOT enter the event site outside of the event opening hours. The hours children are permitted on the event site are Friday 12:00-22:30, Saturday 10:00-23:00 and Sunday 10:00-22:30.
No dogs are permitted in the campsite or anywhere on the event site.
No campfires, BBQ’s or stoves are permitted in the campsite at any time. Only gas stoves for cooking purposes are permitted. Please ensure that gas bottles are stored safely.
Alcohol is permitted in the campsite but cannot be taken onto the Event Site.
No vehicles (other than booked campervans and caravans) are permitted in the campsite. Please leave your vehicle in the car park and walk with your possessions to the campsite.
Only one campervan/caravan is permitted in each CCV pitch. Awnings and small tents are permitted as long as they stay within the marked pitch.
In the event of an emergency, please follow the instructions of the onsite Security and Marshals.
If you require medical assistance, please inform the Campsite Manager or onsite Security. They will be based at the Campsite HQ, by the campsite entrance.
The campsite is shared with other CarFesters who may be working long hours. Please respect and be considerate towards your neighbors and keep the noise down if you are up late at night.
Keep your area clear of rubbish, use the bins provided and remember that the campsite facilities are shared. Please keep them clean for the next person to use.
When walking to and from the event site, please ensure you use the pedestrian walkways. There is usually a large amount of vehicle traffic around Production, remember to look both ways when crossing roadways.

A: CarFest has a strict no refund policy. Therefore, we do not offer any refunds or exchanges on CarFest tickets.
We reserve the right of entry to the festival. CarFest is all about connecting people and celebrating the diversity of our world. We want to make sure that everyone feels welcome, respected and safe no matter their race, gender, sexuality, age, ability, religion, or anything else. We have a zero-tolerance policy for any form of discrimination or harassment. Anti-social behavior will not be tolerated and you will be ejected without refund. A CCTV system is in operation at this Event, for the purposes of Public Safety and Prevention of Crime. Guests may be searched on entry to the event. If you are in possession of illegal substances you may be arrested.

A: Under 18 years old must be accompanied by an adult at the festival and in the campsites. Under 18 year olds will not be allowed to enter or re-enter the festival if they are not accompanied by an adult and MUST camp with an adult. Proof of age may be required upon entry. Please ensure that all under 18s have ID with them in case you are asked. Failure to provide such ID may result in them being asked to leave the festival.
Valid forms of ID include:
•An in-date photographic driver’s license or provisional licence.
•A valid passport (not a photocopy). Out of date passports will NOT be accepted.
•A Proof of Age Standards Scheme Card (showing the PASS hologram).
We will be operating and enforcing a strict Challenge 25 policy at CarFest. If any under 18s can’t provide valid identification when asked, they will be asked to leave the site and come back with their ID. So if you or any of your guests are lucky enough to look 25 or younger, please make sure that you/they bring an acceptable form of identification.
All tickets can only be purchased by an adult 18 or over.
By purchasing a child ticket (6-16) you are confirming that you are either the parent, legal guardian or nominated guardian of the teen or child for whom you are purchasing.

A: Yes, children from the age of 0 to 5 years old are allowed to the festival free of charge.
However, there are some precautions you may wish to take to ensure that it is an enjoyable experience for you all. The Track Show may feature Formula 1 and other cars which are very loud. If you would like to watch these from close quarters, we would recommend bringing and using ear protection on children for their own comfort. Likewise, it is not recommended that young children get too close to the sound systems for the Main Stage. It is also worth noting that the music on each evening will go on until 10pm or 11pm. We rely on your judgement to determine whether your child will find this enjoyable or not.

A: We allow picnics, soft drinks, blankets and folding chairs to be brought in and set up beyond the marked out ‘standing only’ area of the music arena. Please note, our policy is one chair per person and these chairs must be fold-able. We do not allow gazebos, laysacs, windbreakers or tents. Structures like these block the view of the stage for other CarFesters, so please be considerate of others when setting up your area for the evening and don’t take up too much space! Do not leave your belongings on to the main arena overnight as they will be removed.

A: Neither the organisers, venue owner or Charity Partners can be held responsible for any lost or damaged property whilst at CarFest. We strongly recommend never leaving any valuables unattended in your stand, caravan or tent. Do not leave any items unattended. Please ensure your bags and trolleys are clearly marked with your name and contact details. If we find unattended items, we may remove them for security purposes. If you have found someone else’s property or have lost some of your property, please visit the Information Point or Production Office whilst at the event, or contact info@carfest.org after the event.

A: Yes, these are:
• BBQs
• Open fires
• Drones. Drones are not permitted at the festival or campsites. It is a criminal offence to fly drones over populated areas such as festivals. To commit such an offence is punishable and can lead to a 5-year prison sentence and or unlimited fine. Any drones and the pilots thereof, found flying will have equipment confiscated and authorities will be informed to take further action. Your cooperation and support with this is appreciated.
• Generators
• Chinese lanterns
• Fireworks
• Disposable vapes
• Illegal substances of any kind
• Any pet animals or birds (the only animals allowed on site are service dogs)
• It is not permitted to bring alcohol onto the main festival site
We reserve the right to refuse admission or to evict any person from CarFest for drunkenness, unruly behavior or for breaking any of these conditions.

A: The CarFest Official media team and a number of independent production companies will be taking photographs and filming this event. By entering the event you consent to your image being used in any future CarFest and CarFest promotion. If you do not wish your image to be used please go the Organisers Office or speak to the photographer/camera team at the time.

A: We remind all performers to remember there are children present and to use appropriate language, however, we cannot ensure they will follow this advice. Some of our comedians and music acts' material may not be suitable for younger audiences (and some adults). Strobe lighting and lasers may also be used at the event.

Motorsport can be dangerous. Despite the organisers taking all reasonable precautions unavoidable track accidents can happen. In respect of these you are present at your own risk.
CarFest is also held on agricultural land. The organisers and the venue owner would like to remind you that the paths and grounds within the event and camping areas may be uneven. Whilst every reasonable effort has been taken to ensure your safety at all times staff and visitors are requested to take care, especially after dark or in muddy or wet conditions. Neither the organisers nor venue owner can accept responsibility for injury as a result of ground conditions however sustained whilst on these premises.

A. We do not have PPL/PPRS licences in place for exhibitors and/or content providers to play their own music. If you wish to do this you must cover your own liabilities.
